We want to make sure your experience at Alt Summit is effective and productive. Here are some to-do’s and logistical details that will help things run smoothly.

COPY AND CREATIVE ASSETS
Please send a high resolution logo in both JPG and EPS formats to Erin.
Sponsored Dinners are a beloved tradition of Alt Summit. Attendees love the chance to connect with brands (and each other) in small groups. Some of the best relationships have grown out of these private dinners.
What we do:
- Send you a list of attendees you might want to invite. We base this list on certain categories you pick (see more below). The list will include: Names, Emails, Website URL, and Social Handles.
- Offer suggestions of restaurants, influencer partners, onsite venues, etc . . . We’re always happy to help brainstorm ideas, so feel free to ask!
What you do:
- Choose a restaurant and secure a reservation. If you are holding your dinner at one of our partner hotels, we can connect you directly to the hotel’s event coordinator.
- Send us a description of who you’d like to invite to your dinner, based on any of these categories:
• Age range
•How many years they have been in business
•Do they have children?
•Category of business (arts and crafts, art and design, beauty, business, DIY, education, events and parties, fashion, fitness/health/wellness, food, lifestyle, interior design, parenting, social and political responsibility, technology, travel, photography)
- Plan the details: Choose a theme, menu, goody bags (optional), program (optional), dress code (optional).
- Send invitations to your guests. We recommend emailing an invitation either through a service like Paperless Post, or directly from your brand representative or influencer partner.
**If you want to filter your guest list by number of social followers, you will need to collect that information. This is not information we gather during registration.
Dates to keep in mind:
Tuesday, Feb. 4th: Send a list of who you would like to invite (based on above categories) to Erin
Tuesday, Feb. 11th: Receive your curated list
Tuesday, Feb. 18th: Send invites by this date
Tuesday, Mar. 3rd: Sponsor Dinners Around Town
Create your own, or book one from this list. Transportation options are also included in this spreadsheet. Field trips and tours can be scheduled anytime during the conference.

FOOD AND BEVERAGE
Snacks, drinks, and all food (other than gum or candy) at your booth must by purchased through the following contacts at each hotel.

Check out the amazing hotels, their perks, prices, policies and booking instructions here. You can make a reservation at any of the three hotels. At this time, there are no restrictions as to the number of rooms you can book. Please note: There is a four night minimum (Sunday – Thursday) stay required at the Saguaro.

Your load-in and load-out times will be based on the space you are assigned. You can see these times organized by location below.

Our super popular event app will be available for download in January 2020! It will contain details about Alt Summit including schedules, speakers, activities, and sponsors. Your brand will have a page that includes your logo, profile, and any details about your on-site activations (feel free to send us a schedule of what’s happening in your space to upload to the app). The Alt Team manages this section of the app, so any changes or additional information you’d like on your brand profile should be sent to Erin. You can also create a profile as an attendee, which will allow you to interact with other attendees, create your own schedule and write on the wall.

REGISTRATION AND STAFF PASSES
Register here using the code you have been sent.
If you are bringing staff to help with booth setup/take down, staffing of booth, photography, or other needs, please fill out this form. They will need to check in with registration each day they are working to receive their staff badge. This will allow them entrance into your space, but does not include participation in sessions, activities, parties, or meals.
SHIPPING AND RECEIVING
In order to make sure your shipments are ready for you when you arrive, let us know the details by filling out a shipping form. Click on the hotel name to access the form. You will also find a printable shipping label on the last section of the form. Handling and storage fees for each location are listed below.
Keep in mind that shipments can arrive no earlier than Wednesday, Feb. 26, 2020 to the Riviera and Saguaro and no earlier than Friday, Feb. 28, 2020 to the Ace Hotel and Swim Club. If anything arrives earlier, the hotel may refuse the shipment or charge you an additional fee.
Storage rates (payable to the hotel) are as follows:
1 – 15 lbs. $6.00 per day
16 – 30 lbs. $12.00 per day
31 – 50 lbs. $20.00 per day
51 – 100 lbs. $40.00 per day
101 + lbs. $50.00 + per day
Pallet Charge $125.00 per day
Discount is 50% off all sponsor shipping/storage rates above, which will be applied at time of payment. The Saguaro Hotel receiving department reserves the right to refuse delivery of boxes to the hotel without prior approval.
Fee per box is based on weight, a higher fee will be assessed for boxes over 40 lbs. The Ace can accept a very limited amount of boxes and can’t accept pallets or other large shipments. If you are shipping pallets or crates, schedule them to arrive Sunday morning, March 1st so they can be taken directly to the Commune space.
A handling and storage space fee of $5.00 per box/item will be charged.
The shuttle is available for anyone attending Alt Summit. It will run on a continuous loop to each hotel on Sunday from 12:30pm-6:30pm and Monday-Thursday from 8:30am-5:30pm. Expect a shuttle to arrive at each stop approximately every 8 minutes. It will function much like public transportation, so plan on some wait times.
