We want to make sure your experience at Alt Summit is effective and productive. Here are some to-do’s and logistical details that will help things run smoothly.
This is a living document and will be updated periodically, so please keep this link and check back regularly.



TO-DO’S
Please send the following to gabrielle@altitudesummit.com:
- A high resolution logo in JPG format to be used digitally
- Short bio of your brand for the website (max. 250 words)
- Blurb for inclusion in the Alt Summit newsletter. You can tailor this to conference attendees; let them know how they can connect with you at the conference, and include any new products, launches, or initiatives you would like the Alt community to know about.
- Register your team members using the code emailed to you.
AV SUPPORT
Inspire Solutions provides in-house AV at the Renaissance Hotel. Robert Bartley is the Director of Technology, and he will be your main point of contact for all AV requests: robert.bartley.jr@inspiresolutions.com.

DINNERS, COCKTAIL HOURS, PRIVATE EVENTS
Sponsored Dinners and Receptions, are a beloved tradition of Alt Summit. Attendees love the chance to connect with brands (and each other) in small groups. Some of the best relationships have grown out of these private events.
What we do:
- Send you a list of attendees you might want to invite. We base this list on certain categories you pick (see more below). The list will include: Names, Emails, Website URL, and Social Handles.
- Offer suggestions of restaurants, influencer partners, onsite venues, etc . . . We’re always happy to help brainstorm ideas, so feel free to ask!
What you do:
- Choose a restaurant and secure a reservation.
- Send us a description of who you’d like to invite to your dinner, based on any of these categories (you can highlight more than one category):
•Age range
•Geographic location
•How many years they have been in business
•Do they have children?
•Do they have a newsletter?
•Do they use a shopping cart feature on their site?
•Do they use affiliate links?
•Do they consider themselves to be a content creator or influencer?
•Category of business (arts and crafts, art and design, beauty, business, DIY, education, events and parties, fashion, fitness/health/wellness, food, lifestyle, interior design, parenting, social and political responsibility, technology, travel, photography) - Plan the details: Choose a theme, menu, goody bags (optional), program (optional), dress code (optional).
- Send invitations to your guests. We recommend emailing an invitation.
**If you want to filter your guest list by number of social followers, you will need to collect that information. This is not information we gather during registration.
Dates to keep in mind:
Friday, February 21st: Send a list of who you would like to invite (based on above categories) to gabrielle@altitudesummit.com.
Wednesday, February 25th: Receive your curated list
Wednesday, March 4th: Send invites by this date
Saturday & Sunday Mar. 15th or 16th: Sponsor Dinners and Cocktail Parties
FIELD TRIPS
Create your own, or book one from this list. Transportation options are also included in this spreadsheet. Field trips and tours should be scheduled for Monday morning, March 17th.
FLOOR PLANS

FOOD AND BEVERAGE
Snacks, drinks, and all food (other than gum or candy) at your booth must by purchased through the hotel.

HOTEL ROOMS
The official room block for the event closed last week. BUT, the good news is, we still have ten rooms available at the discounted rate. If you book directly with the hotel, the rates are $400+ per night, but the discounted rate is $279. If you’d like one of the discounted rooms, just email gabrielle@altitudesummit.com, and she’ll make sure one has your name on it.

SHIPPING AND RECEIVING
In order to make sure your shipments are ready for you when you arrive, let us know the details by filling out a shipping form. Click on the hotel name below to access the form. Handling and storage fees are listed below.
Keep in mind that shipments can arrive no earlier than Monday, March 10, 2025. If anything arrives earlier, the hotel may refuse the shipment or charge you an additional fee.
THE RENAISSANCE PALM SPRINGS SHIPPING FORM
Storage rates (payable to the hotel) are as follows:
0lbs – 5lbs $5 per box
6lbs – 20lbs $10 per box
21lbs – 50lbs $15 per box
Over 50lbs $25 per box
Crates/Display Cases $25 per crate/case
Pallet Storage $75 per pallet
Items shipped more than 3 days prior to conference, will be charged an additional $25 per day.
In the event you require significant assistance with load-in and load-out, a Dock Master fee will apply. The Dock Master fee includes one attendant to be available to assist you with load-in and load-out of materials, pallets, etc. and assistance with maneuvering through Hotel areas.
Dock Master Fees are charged as follows:
$200 per day, for the first 8 hours
Each additional hour after will be charged at an overtime rate of $50 per hour
